Line-ups

The VSA League entries are sorted by event rather than name. Please press "Ctrl + F" and type in your swimmers name. We will posted the entries by name when we receive them from the League.

 

Meet line-ups will be made available as soon as possible before each meet.

 

Why does it take so long to have the line-ups?

For a meet line-up to be completed, it takes hours of work from both coaches and parent volunteers. The coaches enter each swimmer into individual events for the meet. We have nearly 300 swimmers, so this takes a while to place each swimmer. The coaches then hand off the hand entries to a parent to input the entries into the computer system, which takes at least 4 hours. The entries are then sent to the host team where the file of all 300 swimmers is merged with the files of another team. The meet is then seeded into heat and lanes. The meet program is then emailed to the coaches to clean-up delays in the meet. Coaches have to submit the changes to the computer coordinator from their team who in turn changes each entry in the computer system. The computer coordinator from our team then sends the computer coordinator from the opposing team the file again and the meet is re-seeded. Shepherd sheets, timer sheets, etc. are formed and printed off, which again takes time to generate. Shepherd sheets have to be highlighted. Timer sheets need to organized into lanes. Programs need to be printed for the coaches, desk, and stroke and turn officials. Line-ups are then generated through the computer system and emailed to the team. This is a long process. The coaches and several parent volunteers complete this process as efficiently as possible multiple times a week! Because of the in depth organization and man-hours that go into every meet, it is important that swimmers sign-out of meets who cannot attend. Failure to sign-out causes delays in the meet, extra hours of work for the coaches and parent volunteers to rearrange the meet, and relays to be moved around or cancelled.

Coaches and board members have limited control over the promtness of line-ups. We must wait for the other team to finsih and return the meet file to our Computer person. Some teams do not complete this task until the day of the meet!
